Overview:
A critical component of an asset, be it an office building, be it a shopping mall, be it a power plant, is its documentation. It starts with the design phase, followed by the construction phase and finally the As Built documents will be handed over to the maintenance & operations phase.

Most documents will contain multiple revisions, whereby each revision needs to go through a review and approval process. These processes vary from fairly simple and ad hoc collaboration up to quite complex and rigid process automation.

In many occasions, document collaboration is still email driven; when lucky a non-intelligent project room like OneDrive or Dropbox is used. But how are document tasks defined, how is the progress on tasks monitored, how are deadlines set and monitored, etc.

We would like to demonstrate how to effectively implement an engineering document control environment, which document lifecycles do you automate and when do you decide to allow a more manual control of a document lifecycle. What are the typical pitfalls you have to watch for?

Also during the maintenance & operations phase of an asset document control has it challenges. Very often, several concurrent projects require similar documents to be updated. How do you manage and control that all these concurrent projects are working with the only version of the truth? Is Excel enough or are there more sophisticated ways of doing so?

And what do we see as future trends, especially related to BIM and the shift from document centric to model centric engineering and construction?

Markus Groll, a registered architect, has been in the commercial design profession since 1988. As the founder and manager of companies in Germany, Jordan and the UAE, he has acquired a wealth of experience in architecture, construction and facilities management over the past 25+ years specializing in project planning and management in accordance with industry specific best practice standards.

Working with major clients in a consultancy capacity, he has provided advice and expertise on all aspects of building construction and maintenance. Due to his IT affinity Markus has been also working with clients and companies to lead the implementation and configuration of CAD, BIM, CAFM, IWMS, IMMS and CMMS software applications.

In 1999, he has established the IFMA Regional Chapter “Inn-Salzach” with the primary focus on informing about IFMA and facilities management best practice whilst securing new members for the IFMA. Markus was also the co-author of the German IFMA Planning & Project Management course and has been teaching that course for IFMA since 1998.

Markus has been active in FMCC as
– STAG chair at the FMCC STAG 2013 – 2015
– FMCC Board Member as Secretary: July 2014 – June 2015
– FMCC Board Member as 1st Vice President: from July 2015 onwards

Markus Groll is a founding partner in the multi-disciplinary Global Facility Management Alliance. This consortium of FM consultants facilitates broader strategic support for larger clients and projects of greater complexity.
